Interested vendors are required to submit an application to be considered. All applications will be reviewed in the order they are received. All show participants must be current Charlotte Bride Guide members, in good standing at the time of application and on the event date. Charlotte Bride Guide reserves the right to decline any application based on event needs and category limitations. All events will be planned to showcase a variety of vendors and services.
Charlotte Bride Guide Diamond members receive one complimentary showcase per year. Members who purchased a membership below the Diamond level may upgrade to a Diamond membership by paying the difference between the current membership level and the current Diamond membership pricing. Members may also elect to pay the event registration fee, in lieu of upgrading their membership. Diamond members who have already participated in one show during the calendar year may elect to participate in additional events by paying the event registration fee.
Full payment of any applicable charges are due within 48 hours of application. Failure to pay an invoice in full will result in forfeiture of the registration.
Once an invoice is paid, NO refunds will be issued. Vendors will receive credit toward a future event for any events that are cancelled by Charlotte Bride Guide or the venue. Venues are subject to change. No credit will be provided for vendors that cancel registration within 30 days of the event. Credit towards a future event will be provided, less 25%, for any cancellations made 31 days or more prior to the event. Please check your existing commitments before applying.
The number of vendors per category will vary from event to event. It is our goal to provide both variety for engaged couples and opportunity for success of our vendors. Charlotte Bride Guide will work diligently to create a diverse and well-balanced event.
When we have reached capacity for an event, or for a certain category, we will transition to a waitlist only. By submitting an application to be waitlisted, you are asking us to place your business on our waitlist, in the order in which we receive waitlist requests. If a spot becomes available, you will be invoiced. Standard payment terms of 48 hours from invoicing will apply, unless the event is less than 7 days away. In this case, the invoice will be due upon receipt.
Charlotte Bride Guide staff will send all final event details and instructions to all participating vendors no later than one week prior to the scheduled event.
Please follow all check-in instructions and guidelines on the day of your event.
All vendors are to be respectful of one another, the venue and the Event Coordination Team. Charlotte Bride Guide and the venue reserve the right to move/remove any vendors that do not follow these guidelines.
EARLY BREAKDOWN IS NOT PERMITTED WITHOUT PRIOR AUTHORIZATION. In the event of an actual emergency, notify a Charlotte Bride Guide representative immediately.
Children under 18 years of age are not permitted to attend.
Charlotte Bride Guide will provide each vendor with space for a 6’ table. Vendors will be responsible for bringing their own table, linen and chair(s). We will not be able to accommodate requests for electricity at this event. We encourage vendors to bring fully charged devices and/or backup batteries to accommodate tablets, phones, etc.
We will have very limited 10x10’ spaces which will be reserved for businesses that require larger displays to represent their business. There will be a $50 additional charge for these limited spaces. Spaces will be authorized based on need and availability.
To aid us in covering expenses, this will be a ticketed event. Each vendor will receive a promo code to offer four (4) free general admission tickets to clients or give away on social media.
Accepted vendors will be required to share graphics provided by Charlotte Bride Guide on social media.
It is highly recommended that vendors offer some type of “show special”. Vendors that do so will be included in a special announcement email to all registered attendees, on the Charlotte Bride Guide blog and on social media. Details regarding your “show special” will be due no later than 60 days prior to the event as we will order printed materials including “show special” information for our VIP swag bags!
Setup will be from 10 am to 12:30 pm. Pending a confirmed partnership, we will have someone on-site collecting photos and videos of our vendors for future advertising from 12:30 pm to 1 pm. Vendors will be required to engage with photographer, videographer, and/or content creators so we may obtain content for advertising future events.
